THE GOAL By the end of this onboarding, a new employee should know three things: WHO they work with, WHAT Maximaaz does, and HOW work gets done here. |
ONBOARDING FLOW
WELCOME → PEOPLE → COMPANY → WORK → SYSTEMS → FIRST TASK → FOLLOW-UP
OWNER The designated onboarding owner makes sure the experience happens. Team leads own the parts related to their function. |
QUICK NAVIGATION
01 / DAY 1
Make the first day feel intentional — not administrative.
WELCOME Meet the new employee, introduce them to the office/team and make sure they have a place to work and the basic access they need. |
MEET THE TEAM
- Introduce the people they will work with most often.
- Explain each person’s role in one simple sentence.
- Explain who they should approach for creative, production, operations, HR/admin and day-to-day questions.
- Add a human touch: one fun tag, line or “ask them about…” for each person.
OFFICE TOUR
- Work areas and meeting spaces.
- Where to find basic office supplies and shared equipment.
- Any practical office norms the new employee should know.
WELCOME KIT
- Water bottle
- Notepad
- Pen
- Any additional Maximaaz welcome material
02 / UNDERSTAND MAXIMAAZ
WHAT WE DO Give the new employee a short, clear explanation of Maximaaz, the kind of clients/projects we work on and the role our team plays in building the work. |
HOW WORK MOVES
BRIEF → STRATEGY → CREATIVE → PRODUCTION → POST → REVIEW → DELIVERY
Explain where the new employee fits into this flow. They do not need every detail on Day 1 — they need the map.
LOOK BACK / LOOK AHEAD
LAST MONTH Show 3–5 recent pieces of work. Explain what they were, what the team contributed and anything worth knowing about the process. |
NEXT MONTH Show 3–5 upcoming or interesting projects. Give context on why they matter and where the new employee may intersect with them. |
03 / HOW WE MANAGE WORK
THE PROJECT MANAGEMENT SYSTEM Give a live tour of MM Central – Project Management Space of Maximaaz. The aim is not to teach every feature. Show the new employee where their work lives and how the team knows what is happening. |
SHOW THEM
- Where tasks and assignments live.
- Where briefs, references and important links are found.
- How status, priority and deadlines are communicated.
- Where files and project assets live.
- How feedback and approvals are handled.
- How and when they are expected to update their work.
- Which communication belongs in ClickUp and which situations require direct communication.
THE RULE If it affects the work, the team should not have to guess. Teach the new employee where the information is meant to live. |
04 / THEIR FIRST WEEK
DAY 1
- Meet the team and office tour.
- Company + current work overview.
- Systems +Email + access setup.
- Explain their role, immediate priorities and who they report to.
- Complete required onboarding documents.
DAYS 2–3
- Shadow relevant workflows.
- Review current projects and examples of completed work.
- Clarify expectations for their role.
- Begin first assigned task with support available.
DAYS 4–5
- Work independently on an appropriate first task.
- Receive feedback.
- Identify questions, blockers or missing access.
- Hold a short end-of-week check-in.
FIRST-WEEK CHECK-IN Ask: What is clear? What is still confusing? What do you need access to? Who do you need to meet? Is there anything about the way we work that you haven’t understood yet? |
05 / DOCUMENTS + ESSENTIAL DETAILS
COMPLETE BEFORE ONBOARDING IS CLOSED Keep administrative requirements separate from the creative welcome — but make sure they are completed. |
- Sign required employment / engagement documents.
- Share signed copies with the designated HR/admin contact.
- Complete required company forms and personal details.
- Share date of birth with the designated HR/admin contact.
- Complete required bank, tax or other statutory information, where applicable.
- Confirm access to required company systems and communication channels.
PRIVACY Personal information such as date of birth should be collected and stored only through the designated HR/admin process. It should not be placed in general team documents or shared unnecessarily. |
06 / ONBOARDING COMPLETE

- First task assigned.
- End-of-week check-in completed.
THE STANDARD A successful onboarding is not “we showed them around.” It is: “they know how to find their way around Maximaaz.” |
